Most up-to-date Android and Apple iPads tablets should work. Less than two years old is best but older ones can be tried before spending money to buy new ones.
Mobile phones should work but the screen size is not as comfortable. The Vetting module works in landscape format.
Storage Space
You are going to be taking pictures of documents and possibly candidates so get plenty of storage space. Obviously, once you have
- uploaded the images and
- copied them anywhere else you wish to keep them as back a back up,
then they can be deleted from your tablet(s).
It is not just the obvious advantage from conserving file storage. As a quick GDPR point, the less copies you have, the better for managing your GDPR retention responsibilities. Once it is in our system is backed up. You may keep your own server back ups. Having personal information on a mobile tablet is a vulnerability. Your team can lose them (theft, misplaced stolen, etc.)
Other things about face-to-face BS7858 vetting with AXLR8 mobile devices
- You may have a tablet which has an incompatibility with the main AXLR8 BS7858 Vetting report. This is due to a drop down search module we used. Check you are using the right starting page for vetting workshops.
- Make sure you have trained staff what to photograph and how to upload the files. You may not be able to persuade valuable candidates to pop back in because you forgot to save. Just like a professional wedding photographer, they have to get it right on the day!
- If you are doing remote workshops at different venues, make sure the WIFI is good. Some of the high quality photo files you are uploading (pictures of passports and utility bills, etc.) are large and you need good comms. Pre-check the venue WIFI on a busy conference day.
- Have a team there so that there is redundancy if one arrives late or is off sick and cannot attend at the last minute.
- Have a tight book in/out procedure for devices. They are carrying personal information. Make sure they are password protected and that HR staff employment contracts and your company internal GDPR training reinforce this good practice.
